Paws & Pixels Ltd – Terms & Conditions and Privacy Statement
By registering your details and consents with Paws & Pixels Ltd, you confirm that you understand and agree to the following Terms & Conditions:

General Care & Boarding
- Bookings are confirmed once the deposit or full payment has been received.
- All dogs must be fully up to date with vaccinations, flea treatment, and worming.
- You agree to inform us of any health conditions, behavioural issues, or special requirements.
- Paws & Pixels Ltd reserves the right to decline boarding for any dog that displays aggression or is considered unsafe.
- If your dog becomes unwell during their stay, we will contact you, your emergency contact, and your nominated vet.
- You are responsible for all veterinary fees incurred while your dog is in our care.
- Drop‑off and collection must take place at the agreed times.
- Any belongings left with your dog are left at your own risk.
- Dogs are boarded at the owner’s risk except in cases of proven negligence by Paws & Pixels Ltd.
- Your personal information is stored securely and will only be shared when required for welfare, safety, or legal reasons.
- These terms are governed by the laws of England & Wales.
Off‑Lead Walking Consent
By providing off‑lead consent, you acknowledge and agree that:
- Off‑lead walking carries inherent risks, including interactions with other animals, wildlife, environmental hazards, or traffic. While Paws & Pixels Ltd will take reasonable care and follow standard safety procedures, we cannot guarantee that your dog will be free from injury, loss, or escape.
- We may keep your dog on a lead or suspend off‑lead walking at any time if required for safety, behaviour, environmental conditions, or legal compliance.
- You will notify us immediately of any changes to your dog’s health, vaccination status, behaviour, or circumstances that may affect safe off‑lead walking.
- If your dog becomes ill or injured while in our care, you authorise Paws & Pixels Ltd to seek veterinary treatment. You agree to cover all associated veterinary costs. If emergency treatment is required and you cannot be reached, we will act in your dog’s best interests.
- You release and indemnify Paws & Pixels Ltd, its employees, and contractors from liability for loss, damage, or injury to your dog or any third party, except where caused by proven negligence.
Duration of Consent
Your off‑lead consent remains valid for all periods in which your dog is in the care of Paws & Pixels Ltd and will continue until you withdraw it in writing.

Paws & Pixels Ltd is committed to protecting your privacy and handling your information responsibly. This statement explains how we collect, use, store and protect the information you provide when registering with us or completing our online booking form.
1. Who is responsible for your information?

2. Information we collect
We collect essential details through our secure Paws & Pixels website, including:
- Your contact, address and emergency contact information
- Veterinary details, vaccination records and vaccination-card photos
- Your dog's health, behaviour and care requirements
- Booking, service and communication information
Dog records can also include age, breed, microchip details, medication, feeding, sleeping and exercise routines. We keep the date and version of accepted terms and limited technical security information when forms are submitted.
3. How we use your information
Your information is used to:
- Manage bookings and provide safe, appropriate care for your dog
- Contact you or your emergency contact when needed
- Share relevant information with your vet in the event of illness or emergency
- Meet our legal and licensing obligations
We rely on steps taken before a contract, performance of a contract, legal obligations and our legitimate interests in safely administering and protecting the service. We do not use your information for marketing unless you choose to opt in. Optional permission to use photos can be withdrawn at any time.
4. Data storage and security
Your information is collected securely through the Paws & Pixels website, which uses encrypted connections and protected servers. The admin area and vaccination photos require authorised access, stored files have restricted access, and the hosting disk is encrypted and backed up. Where a supplier processes information outside the UK, we require an appropriate legal safeguard.
5. Data sharing
We only share your information when necessary for:
- Your dog's welfare
- Legal or regulatory requirements
- Emergency situations
Access is limited to Mark and people authorised to help operate Paws & Pixels. Relevant details may be shared with a veterinary professional, emergency service, council, regulator, insurer, professional adviser or legal authority where necessary. Our website host and email provider process information for us to operate the service. We never sell or share your information for marketing or unrelated purposes.
6. Retention period
In line with our licensing requirements, we retain registration and care information for three years from the date of your last booking or interaction. Unconfirmed booking enquiries are generally kept for up to 12 months. Some information may be kept longer where needed for tax, insurance, complaints or legal claims. After the relevant period, your data is securely deleted or anonymised unless it is still required for legal reasons.
7. Your rights
You may request access to your information, ask for corrections, withdraw consents, or request deletion or restriction where legally permitted. You may also object to certain uses of your information. Some records must still be kept to meet legal or licensing duties. Contact Mark using the details above and we will respond as soon as reasonably possible.
8. Complaints
Please contact Mark first so we can try to resolve any concern. You can also complain to the Information Commissioner's Office through its data protection complaints service.

We may update this Privacy Statement when the service or legal requirements change. The latest version and update date will always be shown on this page.
